Privacy Policy

This Privacy Policy describes how AskTracy LLC ("Company," "we," "us," or "our") collects, uses, stores, and protects information in connection with FieldRepsIQ ("Service"). By using the Service, you agree to the practices described in this policy.

1. Who This Policy Applies To

This policy applies to:

• Vendor users — organizations and their staff who access the Service with a login account
• Share link visitors — individuals who view a read-only map via a shared link, without an account
• Field representatives — individuals whose contact information and territory assignments are uploaded to the Service by vendor users

We do not use cookies for tracking or advertising. Session cookies are used solely to maintain your authenticated login state during a browser session and are cleared when the browser is closed.

3. Information We Do Not Collect

• We do not collect payment card numbers or banking information — invoicing is handled manually
• We do not track browsing behavior across other websites
• We do not use advertising networks or third-party analytics platforms
• We do not collect location data from your device
• We do not collect information from share link visitors beyond the access count and timestamp noted above

4. How We Use Your Information

We use the information collected solely to:

• Provide, operate, and maintain the Service
• Authenticate users and enforce access controls
• Display territory assignment data on your organization's map
• Calculate subscription fees and usage-based overage charges
• Communicate with you about your account, invoices, and Service updates
• Monitor Service health and troubleshoot technical issues

We do not sell, rent, or share your information with third parties for marketing or advertising purposes.

5. Field Representative Data

The Service stores names, phone numbers, and email addresses of your organization's field representatives as part of territory assignment data you upload. This personal information is:

• Visible only to your organization's authorized users and anyone you share a map link with
• Never shared with other tenants on the platform
• Never sold or disclosed to third parties
• Deleted within 90 days of account cancellation

If you upload field representative personal data to the Service, you are responsible for ensuring you have the appropriate authorization or consent to do so under applicable privacy laws.

6. Data Storage and Security

Your data is stored in a Supabase-hosted Postgres database and on Render-hosted servers, both of which are located in the United States. Territory map geometry is stored as files on the hosting server. We use industry-standard security practices including:

• Encrypted HTTPS connections for all data in transit
• Password hashing using Werkzeug's scrypt algorithm — passwords are never stored in plain text
• Tenant data isolation — each organization's data is scoped and inaccessible to other tenants
• Session security controls to prevent unauthorized access after logout

While we take reasonable steps to protect your data, no system is completely secure. We cannot guarantee the absolute security of information transmitted to or stored by the Service.

7. Data Retention

We retain your data for as long as your account is active. Following cancellation or termination of your account:

• Your data remains accessible for the remainder of your current billing period
• All Your Data is permanently deleted within 90 days of account closure
• You may request an export of your data at any time before deletion by contacting hello@fieldrepsiq.com

8. Third-Party Services

FieldRepsIQ uses the following third-party infrastructure providers to deliver the Service:

• Render — web application and cron job hosting (render.com)
• Supabase — Postgres database hosting (supabase.com)
• OpenStreetMap / Nominatim — map tile rendering and address geocoding. Address searches entered into the map search bar are sent to the Nominatim geocoding service. No account information is transmitted.

These providers are used solely for infrastructure purposes. We do not share personal data with them beyond what is necessary to operate the Service.

9. Your Rights

Depending on your location, you may have rights under applicable privacy law including:

• The right to access the personal information we hold about you
• The right to request correction of inaccurate information
• The right to request deletion of your information
• The right to receive a copy of your data in a portable format

10. Illinois Residents

If you are an Illinois resident, you may have additional rights under the Illinois Personal Information Protection Act (PIPA) and related state laws. We do not sell personal information. For questions about your rights as an Illinois resident, contact us at hello@fieldrepsiq.com.

11. Children's Privacy

The Service is intended for use by business organizations and their adult employees. We do not knowingly collect personal information from individuals under the age of 18. If you believe a minor's information has been submitted to the Service, please contact us immediately at hello@fieldrepsiq.com.

12. Changes to This Policy

We may update this Privacy Policy from time to time. When we do, we will update the effective date at the top of this page. For material changes, we will notify active account holders by email. Continued use of the Service after changes take effect constitutes your acceptance of the revised policy.
